How the Noki Key Management System Works: A Complete Guide For Noki Exec

Managing keys for your business just got easier with the Noki Key Management System. This guide will help you understand how the system works, from setting up to using its advanced features. With Noki Systems, you can streamline key management, increase security, and save time. Let’s get started!  1. Your Noki System The Noki system includes both the physical unit and the Noki Exec software. Together, they provide a seamless user experience for managing keys. A Noki Systems technician will install the physical unit, which connects via Wifi or LTE. This means it can be installed anywhere you have a standard wall plug.  Your system is built for security with compartments for key storage, a control panel, an RFID scanner, fingerprint sensor, and a 7-inch touchscreen. The system is made from heavy-duty steel and has electromagnetic locks to keep everything secure.  2. Getting Started Once the Noki system is installed, it’s time to set up the Noki Exec software. This is where you’ll manage everything: staff members, key compartments, and security settings.  – Create an Account: Go to Exec software on your computer. If you don’t have an account, create one by entering your mobile number. This number will be your username and you’ll receive a code to log in each time.  – Link System: After logging in, link your physical Noki system by entering the System Link ID provided to you via email. Repeat this for each unit if you have more than one.  – Configure System: On the System Summary page, you can add custom fields to organize keys. For example, if you manage a car dealership, you can create fields like Make, Model, and Year.  3. Set Up User Accounts & Access Compartments Once your system is set up, the administrator can add staff members and assign access to key compartments.    – Register Keys: Go to the System Summary and click +Item to register a key for each compartment. Give each key a name and fill in the custom fields.  – Create Groups: To save time, create Groups for employees or managers who need access to the same keys. You can assign specific compartments to each group.  – Add Users: Go to the Users page and click +User. Enter the staff member’s name and mobile number. They’ll receive a code to verify their account. Assign them to the correct group.  4. Temporary Authorizations Need to give someone temporary access? The Noki system allows you to give limited access to people outside your company, like contractors or short-term staff.  – Create Temporary Access: In the Admin Panel, go to the System Summary, choose a compartment, and click “Temp Authorization.” Enter the person’s mobile number, and they’ll receive a text with an access code.  – Manage Temporary Users: You can track and control temporary authorizations through the Users page in the Admin Panel.  5. Enable Multi-Location Functionality If your business operates in multiple locations, Noki’s Multi-Location feature lets you manage keys across different sites seamlessly.  – How It Works: With Multi-Location enabled, keys can be removed from a compartment at one location and placed in another at a different site. The system will automatically track this activity.  – Enable the Feature: In the Admin Panel, go to each system’s Configuration settings and check the box for Multi-Location.  6.
