Physical Keys vs. Smart Key Systems: Choosing the Best Security for Your Business

When you’re running a business, keeping your building and assets safe is a top priority. One of the big decisions you’ll need to make is choosing the best type of locks for your doors. Do you go with traditional physical keys or switch to a modern smart key system? Each has its pros and cons, and it’s important to find what works best for your company. Let’s break down the differences in a simple way, and show how Noki Systems in Canada can help you choose the right solution.

Physical Keys: Simple and Reliable

Physical keys are the kind of keys most of us are used to. You insert the key, turn it, and the door unlocks. It’s a method that’s been around for a long time, and here’s why it can be a good choice:

– Easy to Understand: Everyone knows how to use a key. You don’t need any special knowledge or tools to lock or unlock a door.

– Low Cost: Physical locks and keys tend to be cheaper to install than smart systems, making them a cost-effective option, especially for small businesses.

– No Power Needed: Physical keys don’t require electricity or internet, so they always work, even during a power outage.

However, there are also some downsides to physical keys:

– Easy to Lose: People often lose their keys. If someone misplaces a key, anyone who finds it could potentially unlock your business.

– Hard to Control: If your business has many employees or locations, keeping track of who has which keys can get confusing.

– No Tracking: Physical keys don’t offer any way to know who unlocked the door or when. This can make it hard to manage access and security.

Smart Key Systems: Modern and Convenient

Smart key systems are the future of business security. Instead of using a traditional key, these systems use digital technology, like keycards, smartphone apps, or even fingerprint scanners. Here’s why smart key systems might be a better option:

– No Lost Keys: With a smart system, there’s no physical key to lose. Access is controlled by codes, apps, or devices, making it much easier to manage.

– Better Control: You can easily add or remove users from the system, and there’s no need to change locks when an employee leaves.

– Tracking Access: Smart systems keep a record of who enters and when. This helps keep your business secure and makes it easier to track activity.

– Remote Access: Many smart systems allow you to control your locks from your phone or computer, so you can unlock or lock doors from anywhere.

But smart key systems aren’t perfect:

– Higher Cost: Smart systems can cost more upfront to install compared to traditional locks.

– Power and Internet: Most smart key systems need electricity and an internet connection to work, which could be a problem if either goes down.

– Learning Curve: Some people might find smart systems harder to use, especially if they aren’t used to technology.

Top 5 Reasons Property Managers Must Adopt Smart Key Management

Managing properties can be challenging, especially when it comes to keeping track of keys. As a property manager, you likely deal with multiple units, tenants, and maintenance staff. Using physical keys for every property can be a hassle and a security risk. That’s why more property managers are switching to smart key management systems. Here are the top five reasons why you should consider upgrading to a smart system, and how Noki Systems in Canada can help.  1. Better Security Smart key management systems give you better control over who has access to your properties. Instead of physical keys that can be easily copied or lost, smart systems use digital codes, keycards, or apps to grant access. You can give specific access to tenants, maintenance workers, or cleaners, and remove it whenever you need to. This reduces the risk of unauthorized entry and ensures your properties stay secure.  2. No More Lost Keys One of the biggest problems with physical keys is that they often get lost. When a tenant loses a key, it can cost time and money to change the locks. With smart key systems, you don’t have to worry about lost keys anymore. If someone loses their access code or keycard, you can easily deactivate it and issue a new one. No need to change locks or worry about who might find the lost key.  3. Easy to Manage Multiple Properties If you manage several properties or units, keeping track of all the keys can be confusing. A smart key management system makes it easy to handle access for multiple properties from one central location. With Noki Systems, you can manage access through a simple online platform or app, no matter how many properties you have. This saves time and makes your job as a property manager much easier.  4. Tracking and Accountability Smart key systems allow you to track who enters and exits each property, and when they do so. This helps improve security and keeps tenants safe. If there’s ever a question about who accessed a property, you can check the system’s records to see exactly who used their key and when. This level of accountability helps ensure that everyone follows the rules.  5. Convenience for You and Your Tenants With smart key management, you don’t have to physically hand over keys to tenants or contractors. You can grant them access digitally, which means no more waiting around to give someone a key. This is especially useful for new tenants moving in or contractors coming for repairs. It’s convenient for everyone involved and makes the move-in process smoother.  How Noki Systems Can Help Noki Systems in Canada offers smart key management solutions that make life easier for property managers. Our systems are secure, easy to use, and can be managed from anywhere. Whether you’re dealing with one property or many, Noki’s smart key management system helps you stay in control, save time, and keep your properties secure.  Share This Post More To Explore For more information, contact our team! How the Noki Key Management System Works: A Complete Guide For Noki Exec

Managing keys for your business just got easier with the Noki Key Management System. This guide will help you understand how the system works, from setting up to using its advanced features. With Noki Systems, you can streamline key management, increase security, and save time. Let’s get started!  1. Your Noki System The Noki system includes both the physical unit and the Noki Exec software. Together, they provide a seamless user experience for managing keys. A Noki Systems technician will install the physical unit, which connects via Wifi or LTE. This means it can be installed anywhere you have a standard wall plug.  Your system is built for security with compartments for key storage, a control panel, an RFID scanner, fingerprint sensor, and a 7-inch touchscreen. The system is made from heavy-duty steel and has electromagnetic locks to keep everything secure.  2. Getting Started Once the Noki system is installed, it’s time to set up the Noki Exec software. This is where you’ll manage everything: staff members, key compartments, and security settings.  – Create an Account: Go to Exec software on your computer. If you don’t have an account, create one by entering your mobile number. This number will be your username and you’ll receive a code to log in each time.  – Link System: After logging in, link your physical Noki system by entering the System Link ID provided to you via email. Repeat this for each unit if you have more than one.  – Configure System: On the System Summary page, you can add custom fields to organize keys. For example, if you manage a car dealership, you can create fields like Make, Model, and Year.  3. Set Up User Accounts & Access Compartments Once your system is set up, the administrator can add staff members and assign access to key compartments.    – Register Keys: Go to the System Summary and click +Item to register a key for each compartment. Give each key a name and fill in the custom fields.  – Create Groups: To save time, create Groups for employees or managers who need access to the same keys. You can assign specific compartments to each group.  – Add Users: Go to the Users page and click +User. Enter the staff member’s name and mobile number. They’ll receive a code to verify their account. Assign them to the correct group.  4. Temporary Authorizations Need to give someone temporary access? The Noki system allows you to give limited access to people outside your company, like contractors or short-term staff.  – Create Temporary Access: In the Admin Panel, go to the System Summary, choose a compartment, and click “Temp Authorization.” Enter the person’s mobile number, and they’ll receive a text with an access code.  – Manage Temporary Users: You can track and control temporary authorizations through the Users page in the Admin Panel.  5. Enable Multi-Location Functionality If your business operates in multiple locations, Noki’s Multi-Location feature lets you manage keys across different sites seamlessly.  – How It Works: With Multi-Location enabled, keys can be removed from a compartment at one location and placed in another at a different site. The system will automatically track this activity.  – Enable the Feature: In the Admin Panel, go to each system’s Configuration settings and check the box for Multi-Location.  6. Notification Settings Stay informed with real-time notifications. Noki Exec allows you to set up alerts for key activities like when a key is accessed or returned.  – Customize Notifications: Go to the settings in Noki Exec and choose which notifications you want to receive, such as low battery alerts or unauthorized access attempts.  7. Register a Fob and Fingerprint For even faster access, you can register a fob or use the fingerprint scanner.  – Register a Fob: In the System Summary, select the user and click “Register Fob.” Then scan the fob using the control panel’s RFID scanner.  – Register a Fingerprint: Go to the same user settings and choose “Register Fingerprint.” The staff member can scan their finger on the control panel for fast and secure access.  With the Noki Key Management System, you can control access, monitor key activity, and improve your business’s security—all in one place. Follow these steps to get the most out of your Noki system and make key management easy!  Share This Post More To Explore For more information, contact our team! Contact Now
